/Problem
Enrolment covered six days of classes, 31 August to 5 September 2026, against advertising that was paid for up front and a launch date that could not move. Inside that window sat seven age groups and seventeen class slots, held until then in the internal materials of the club. The form collects details about children, so parental consent and protection against automated submissions had to work from the first hour the adverts ran. Any break in taking sign-ups during the campaign would have wasted the advertising budget.
/Approach
The timetable for the new season existed only in the club's own materials. We moved it onto the site slot by slot, with the real class times and the section colours from the brand materials. Anything the materials did not answer went back to the club as a question rather than a quiet assumption. The sign-up rules are enforced not only by the form on screen but by what sits behind it, so they cannot be worked around. Before the adverts started we put the page under heavy traffic and walked the whole sign-up path from a phone, on the live site.
/Solution
Signing up takes three steps. A parent picks a slot, taps the age of the child between 4 and 15 and the level, beginner or advanced, then marks whether the child is coming to one class or to the whole week. The last step collects the name of the guardian, a phone number and an email address along with the consents, because the club confirms the place itself, by phone or by email. The form remembers what was typed, but the consent to process data about a child is the one box that never comes back ticked and has to be clicked on every submission. Details about the children are stored where nobody outside can reach them, even knowing the address of the site. Age is checked again once the form is sent, whatever was picked on screen, so a four-year-old cannot end up in a class for teenagers. Club staff have a password-protected panel where the list refreshes every fifteen seconds and the occupancy of each slot is visible. The whole list downloads as a spreadsheet or as a printable file.
/Result
In testing before launch the form took 7176 sign-ups, and every one of them reached the database without a single error. The site did not slow down with more than 150 people signing up at once. The club now runs the intake from one panel and sees how full each slot is. The campaign went live on 18 August 2026, and every ten minutes a check from outside confirms that the form is still taking entries, so a fault cannot quietly cost a day of advertising.
